# Export, update, and import settlement rates

## When to use it?

- When you want to set different rates for a specific person from your own team, cleaning company, type of cleaning, and property.
- When you want to **update **existing individual rates, but you have a lot of properties and don't want to do it one by one.

To avoid issues e.g. with formatting, press the button **Enable Editing**

## What you are ALLOWED to edit (and only that!)

Make changes ONLY in the green columns:

- `rate_valid_from` – the date from which the new rate is to apply
- `rate_valid_to` – optional information on how long the rate is to be in effect
- `rate` – amount of the rate (we do not specify the currency - only the numbers; you simply operate in the currency you use)

:::hint{type="warning"}
**IMPORTANT! In order for the rate to be imported at all, you must fill in both fields in the given row, both** `rate_valid_from` and `rate`.

Filling in only one of them and leaving the other blank will be interpreted as a lack of data for the change!
:::

:::hint{type="danger"}
✋ Do not change any other columns (names, IDs, types, etc.).

Changing anything other than the three green columns will **invalidate the import.**

## Ude these formats

- `rate_valid_from`: YYYY-MM-DD (for example 2025-07-01)
- `rate_valid_to`: YYYY-MM-DD (for example 2025-07-01)
- `rate`: number (for example 120 lub 120.50 / 120,50)

:::hint{type="info"}
After changing the date in the spreadsheet, Excel may display it differently, e.g., as 07/01/2025. This is acceptable and should not affect the import.
:::

## Importing the file back into Lula

1. After entering the new rates and dates, **save **the file on your device (in the same .xlsx format) and close it.
2. Return to Lula's page [https://app.lula.cleaning/settlement-rates/export-import](https://app.lula.cleaning/settlement-rates/export-import).
3. Select the file to import and confirm.
4. The changes from the file will be uploaded in the background. They will be available in the system shortly.

:::hint{type="info"}
If, after importing rates from Excel, the value is updated directly on the propertycard in Lula, it will be set as the default value for the cleaner or company. Individually set rates for specific individuals or companies will not change.
:::

## How to implement changes – examples

### A. Setting a rate for one person only

- Find the line(s) for this person (e.g., **John Smith**) for specific **properites **and **types of cleaning.**
- Fill in`rate_valid_from` and `rate` only in these lines.
- Leave the fields for other individuals/companies **blank **– their rates will **remain unchanged.**

### B. Rate change from the new date (continuation of rate history)

- Enter the new date in `rate_valid_from` (for example 2025-07-01) and a new value for `rate`.
- The system will automatically “cut off” the old rate until the previous day (in our case, until 2025-06-30) and apply the new rate from the specified date.

:::hint{type="info"}
ℹ️ **Reminder **- if `rate_valid_from`or `rate` remains empty, this means that there is no change in the given row.
:::

## How to make editing in Excel easier

To make it easier to quickly fill in data, you can use the built-in functions in Excel and apply table filtering. Below is an explanation of how you can streamline data entry in a few steps.

- In Excel, select the entire table (e.g., using Ctrl+A).
- Go to the “Insert” tab.
- Click on “Table” (most likely the third button from the left) – the “Create Table” window will appear. After making sure that the entire table is selected, confirm.
- Select the header/column from which you want to select the item to sort, e.g., if you want to set a fixed rate for a selected person, click the arrow to the right of the “Who” column. In the list that appears, select only the person for whom you want to enter the specified rate and confirm. This will cause Excel to display only the fields to be filled in for that person.
- Bulk edit: after filtering, paste the same date/amount into multiple rows.
